This is almost the end of your Trial Scenario! Congrats for sticking up till the end 💪

So far we’ve created tiles and stories in a blink of an eye, but we’re pretty sure you’re dying to see how data works.

In the section we will give you a quick tour of how to manage data in Toucan. We say quick tour because we are in the Trial Scenario, we can’t show you everything at once, but don’t hesitate to contact your sales representative for more.

The data menus

Let’s first checkout the different menus before adding your own data!

Remember when we talked about the toolbar and its differents menus? We “forgot” to talk about the Data one, how frustrating right?

Don’t worry, it’s time 🤙

Checkout the black toolbar at the bottom of your screen. Click on Data to access the 3 menus.

Data Sources

This is where you can upload flat files or define new remote datasources for your application. Now you can even copy-paste data directly in Toucan!

You define here where is the data you want in your application.

Data sources are your raw data. The data you received that would be the base of your small-app.

See datasources as “untouched” data. Datasources are coming directly from the organisation, you haven’t done anything on it yet to fit your needs in the small-app.

Think of it as the original version of your data. Well, the source :)

Data explorer

Use this menu to explore your dataset 🔍

Datasets are the results of the refresh data operation.

You take the datasources, you do some cool stuff (like merging them, aggregate them, calculate new fields, etc…), and they become datasets available in the small-app.

Within the Data explorer you’ll find detailed informations on your datasets and you can get a preview of your data just like in a good old excel file.

Several operations are available, like:

  • download the data
  • publish to production

Use your own data

Toucan can use a lot of diverse data sources. You can use flat files, copy-pasting data, connect to a remote database or even to a cloud-based database. Pretty sweet!

In our Trial Scenario, we have been using data that was already in the application. These data were coming from 4 different flat files.

To use your own data in this application:

  • let’s download them from the data source menu
  • let’s update the data inside these files
  • and finally let’s drop your data in the application

Download data sources

In the Data Sources menu, each data source is represented by a small tile.

There are many things you can do from there, but for the sake of the exercise, let’s just focus on downloading the data source.

As data in staging and in production can be different, you can choose which one to download 📩

Update data

Once you have downloaded the files, let’s open them and manually update them one by one.

Tile trend file

This file is used to create the line tile on the home page.

Update it with information for which you want to show a trend

You should fill-up 2 columns:

  • label: contain the date
    • Each line should have the same date format, so if you using week numbers, all lines should have a week number in this column
    • All lines should have a date filled up
  • value: contain the value of the indicator you want to display, it should contain a value (int or float)

Save the file keeping the original format.

Story trend file

This file is used to create the linechart in the Trends story.

Update it with information for which you want to show a trend

You should fill-up 2 columns:

  • weeks: contain the date
    • Each line should have the same date format, so if you using week numbers, all lines should have a week number in this column
    • All lines should have a date filled up
  • revenue: contain the value of the indicator you want to display, it should contain a value (int or float)

Save the file keeping the original format.

Story performance file

This file is used to create the leaderboard in the Shops Ranking story.

Update it with information for which you want to show a ranking.

You should fill-up 4 columns:

  • shops: this is what you’ll be ranking
  • region: this is a roll-up of what you’ll be ranking, a grouping of what you’ll be ranking
  • revenue: this is the indicator on which you want to rank, it should contain a value (int or float)
  • variation: this is the evolution of your indicator. The value in this column should be a float, remember we set up the precision to .1%

Save the file keeping the original format.

Story objectives file

This file is used to create the bulletchart in the Objectives story.

Update it with information you want to compare to an objective/target.

You should fill-up 4 columns:

  • shops: this is the entity/category you focus the comparaison to the target
  • revenue: this is the indicator you want to analyze
  • target: this is the target the indicator should be reaching
  • last_year: this the value of the indicator last year or for the last period

Save the file keeping the original format.

Now that the data sources flat files contain your data, let’s update your app with it!

Upload your data

Once you have updated the files, simply drag and drop them back on their tiles. The refresh is automatic, no need to do anything.

Check out your stories and home page to see if everything looks good

If not

  • Do not panic 🏖️
  • Download the production version of the datasources
  • Try one more time to update with your own data following closely the instructions
  • Still not working? Contact your sales representative she or he will be here for you 🙏

Copy paste data

With Toucan we try to make it as easy as possible to handle data.

So we even have a copy/paste data option!

Just copy data from excel, and select Copy Paste from the Data Sources menu.
